There are two ways to connect NetSuite to Gemini Enterprise. Google has its own Oracle NetSuite data store, which sends your questions to the NetSuite API. Windsor.ai is a second data store that reads the NetSuite record types you choose and puts them next to data from 350+ other sources, such as Google Ads, Salesforce or Shopify.
This guide shows when each route fits and how to set up the Windsor.ai one.
Connect NetSuite to Gemini with Windsor.ai. Free forever plan, no credit card: onboard.windsor.ai/app/netsuite
Google’s NetSuite data store or Windsor.ai
| Google’s Oracle NetSuite data store | Windsor.ai data store | |
|---|---|---|
| Data | NetSuite records only | NetSuite record types you list, plus any other source connected in Windsor.ai |
| How it reads NetSuite | Federated search: Gemini Enterprise sends the query to the NetSuite API | Windsor.ai reads the record types through NetSuite’s API with token-based authentication |
| NetSuite side setup | An OAuth application with the mcp scope |
An integration record, a role and an access token |
| Status | Public preview, per Google’s NetSuite connector docs | Public preview under Google’s Pre-GA terms (see the setup guide) |
| Extra cost | Gemini Enterprise and data store billing from Google | The same Google billing, plus a Windsor.ai plan if you connect more than one source |
Use Google’s data store if your questions are about NetSuite alone. Use Windsor.ai if you want to ask, for example, how campaign spend compares with sales orders, or how CRM pipeline compares with invoiced revenue. Both are data stores, with a very similar setup on the Gemini side.
Before you start
- Gemini Enterprise Standard, Plus, Frontline or Pay-as-you-go, set up in the Google Cloud console. The Business edition has its own setup and a smaller connector list.
- A Google Cloud project in your organization (Google Workspace or Cloud Identity, not a personal Gmail account), with billing on and Gemini Enterprise activated.
- The Discovery Engine Editor role on that project for whoever creates the data store.
- NetSuite administrator access, to enable token-based authentication and create an integration, a role and an access token.
- A Windsor.ai account. If NetSuite is your only source, the free forever plan covers it. Blending it with other sources needs a paid plan: from $19/month for 3 sources or $99/month for 7 (annual billing, see Windsor.ai pricing).
Google bills Gemini Enterprise licences and the data store separately from your Windsor.ai plan.
Step 1: Connect NetSuite to Windsor.ai
The NetSuite part is done once by a NetSuite administrator. Our NetSuite connector installation guide has every screen; in short:
- In NetSuite, go to Setup > Company > Enable Features, open the SuiteCloud tab and turn on Token-Based Authentication.
- Create an integration under Setup > Integrations > Manage Integrations > New with token-based authentication checked. Copy the Consumer Key and Consumer Secret; NetSuite shows the secret once.
- Create a role for Windsor.ai with view or full access on the Transactions, Reports, Lists and Setup permissions, and assign it to a user.
- Create an access token for that integration, user and role under Setup > Users/Roles > Access Tokens > New. Copy the Token ID and Token Secret.
- Open onboard.windsor.ai/app/netsuite and enter the Realm (your Account ID), the two keys, the two token values, and the record types you want, for example
customer, salesorder, invoice, item, transaction.
Windsor.ai can only read the record types that the role has permission for. If a record type is missing later, check the role first.
Step 2: Add Windsor.ai to Gemini Enterprise
This is the condensed version; the Gemini Enterprise setup guide has screenshots and error fixes.
- In the Google Cloud console, open Gemini Enterprise > Data stores and click Create data store.
- Under Third-party data sources, choose Windsor.ai, then select Connectors under Entities to search.
- Skip the actions for NetSuite. Windsor.ai has no write actions for NetSuite, and reading works without them.
- Choose global under Multi-region unless you must keep data in the US or EU. This cannot be changed later. Configure access control with Google Identity if the console asks.
- Keep General pricing, click Create, and wait for Active.
- In a Gemini Enterprise app in the same location, open Connected data stores > Add existing data stores and pick the Windsor.ai data store.
Then open the app’s web app, click the puzzle piece icon below Ask Gemini Enterprise, click Authorize next to Windsor.ai and Allow Access, sign in to Windsor.ai, click Finish, and check that the toggle is on.
Step 3: Check the connection
Ask for something you can confirm in a saved search:
How many NetSuite sales orders were created in the last 30 days, and what is their total amount?
Compare the answer with a NetSuite saved search for the same dates. An empty answer usually means the Windsor.ai toggle is off in the web app, or the record type is missing from the list you entered in Step 1.
NetSuite data Gemini can use
Windsor.ai returns the NetSuite record types you list when you connect, as far as the integration role can read them. Common choices:
| Record type | Typical questions |
|---|---|
salesorder |
Orders by period, customer, status and amount |
invoice |
Invoiced revenue, open amounts, due dates |
customer |
Customer list, balances, segments |
item |
Products and services sold, prices |
transaction |
All transaction types in one view |
vendor, employee, account, contact
|
Spend by vendor, headcount, account structure |
Each row also carries date fields (date, week, month, year) so Gemini can group results by period. The Records Browser in the NetSuite Help Center lists every record type and its fields.
Questions to ask Gemini about NetSuite
Sales and revenue
- Compare sales order totals by month this year with last year.
- Which 20 customers had the highest invoiced amount this quarter, and how much is still open?
Year-on-year sales orders, a full quarter of invoices and the 90-day vendor totals below all reach past the 30 days of NetSuite data on Windsor.ai’s free forever plan and need a paid plan with up to 10 years of history.
Operations and spend
- Which items sold the most units last month?
- Show transaction totals by vendor for the last 90 days.
Month-end checks
- List invoices past their due date with customer and open amount.
- Are there sales orders from last month that do not have an invoice yet?
Gemini answers from the data Windsor.ai returns at that moment. Check figures against NetSuite before they go into a close report.
Combine NetSuite with marketing and CRM data
This is the case for the Windsor.ai route. With NetSuite and other sources in one Windsor.ai account:
- NetSuite with Google Ads and Facebook Ads: Compare monthly ad spend with NetSuite sales order totals for the last 12 months.
- NetSuite with Salesforce or HubSpot: Which opportunities closed won this quarter have no NetSuite sales order yet?
- NetSuite with Shopify or Amazon Seller Central: Compare store order revenue with NetSuite invoiced revenue by month.
Our Windsor.ai for finance guide has more cross-source finance examples.
Troubleshooting
Some NetSuite record types come back empty
The integration role reads only what its permissions allow. On the role’s Permissions tab, add every entry in the Transactions, Reports, Lists and Setup dropdowns with View or Full access. If you rename or customize a record in NetSuite later, edit the role’s permissions again (NetSuite connector installation guide).
I lost the Token Secret
NetSuite shows the Token ID and Token Secret only once. Create a new access token for the same integration, user and role under Setup > Users/Roles > Access Tokens > New, then enter the new values in Windsor.ai.
“You don’t have permissions to fetch Workforce Pools”
You can ignore this message if you choose Google Identity for access control. It applies only to the 3rd Party Identity option, which needs the IAM Workforce Pool Admin role on the organization (Gemini Enterprise setup guide).
Conclusion
For NetSuite-only questions in Gemini Enterprise, Google’s Oracle NetSuite data store is the direct option. When the answer needs NetSuite next to ad, CRM or store data, connect NetSuite in Windsor.ai, add the Windsor.ai data store to your Gemini Enterprise app, and authorize it in the web app.
Next steps:

FAQs
Why use Windsor.ai if Google has a NetSuite connector?
Use Windsor.ai when you want NetSuite in the same answer as other sources, such as Google Ads, Facebook Ads, Salesforce or Shopify. For questions about NetSuite alone, Google’s data store is enough.
Can Gemini change NetSuite records through Windsor.ai?
No. The Windsor.ai NetSuite connector is for analysis only and has no write actions (see the Windsor.ai write actions list).
Which NetSuite records can Gemini read through Windsor.ai?
The record types you list when you connect NetSuite in Windsor.ai, such as customer, salesorder, invoice, item and transaction, as long as the integration role has permission for them.
Can I connect a NetSuite sandbox?
Yes. Enter the sandbox Account ID with its suffix, for example 1234567_SB1, as the Realm when you connect NetSuite in Windsor.ai.
Is connecting NetSuite to Gemini free?
Yes, for NetSuite alone on the Windsor.ai free forever plan, no credit card. Blending it with other sources needs a paid plan from $19/month for 3 sources. Google bills Gemini Enterprise and the data store separately.
